Fiduciary Operations Administrator

Our dedicated fiduciary team finds individual solutions for clients needs.

As our business continues to grow, we are looking for a Fiduciary and Operations Administrator who will support operational tasks in relation to fiduciary structures established under the Luxembourg Act of 2003.

Under the supervision of your hierarchical line, you are in charge of all matters that are in the department competences.

A particular focus is put on the Fiduciary as well as partially Fund Order Desk operations,

Namely:

  • Assist day-to-day administration of fiduciary transactions in accordance with the Luxembourg Fiduciary Act of 2003
  • Maintain and enhance good relationship with existing customers by resolving client queries and by coordinating with external service providers
  • Liaise with internal departments to ensure smooth operational flow
  • Draft internal manuals
  • Filling and archiving client related documents following internal procedures and maintaining relevant databases
  • Support onboarding of new clients and structures, including KYC/AML documentation and due diligence
  • Draft minutes, resolutions and other corporate documentation under supervision.

Specific Skills or Experience

  • Bachelor's degree in finance, Business Administration, or a related field· 1-2 years of experience in fiduciary, legal, or financial services
  • Basic understanding of fiduciary principles and Luxembourg regulatory framework
  • Good organizational skills, attention to details and team-working skills
  • English fluency required; any other language would be a plus
  • Good knowledge of MS Office
  • Able to handle unexpected situations to the satisfaction of all participants ;
  • Ability to stay focused and efficient in a fast-paced environment· Ability to work in an occasionally high volume of work environment;

The EU Fleet Operations team operates in the various European countries to optimize the branded fleet availability, by partnering with multiple internal stakeholders across the Amazon Last Mile organization as well as with our external partners such as Delivery Service Providers (DSP), Fleet Management Companies (FMC) and Original Equipment Manufacturers (OEM).
We work with large amounts of novel data and provide insights that help deliver billions of packages to customers every year. We are looking for a Sr. Fleet Insights Manager who is ready to roll up their sleeves and help us develop actionable, data-driven insights to support the Fleet Operations team automation and operational excellence projects / data asset development. In this role you will develop and lead new analytics solutions (dashboards, metrics, analytics) that supports critical process improvement automation.
To be successful in this role, you'll need to be a diligent time/project manager, strong communicator, and problem solver extraordinaire. You'll work on large, complex initiatives with a high degree of ambiguity, and you'll also advocate on behalf of customers. Candidates will use data and analytic engineering to drive changes across multiple organizations.
This role is located in Luxembourg.
Key job responsibilities
- Developing and maintaining performance dashboards with key metrics for review with senior leadership and business teams; synthesizing large quantities of data to help create new, step-change initiatives for the organization.
- Onboarding data from our WW data warehouse to build automated data pipelines utilizing eg Python in Lambda or Sagemaker to invoke API calls.
- Using statistical techniques and tools for strategic deep dives; generating actionable insights and effectively communicating recommendations to senior leadership.
- Inventing new ways to analyze data to identify the trends and gaps in the experience and services we provide to our delivery service partners.

En tant que Security Operations Engineer, vous êtes chargé de superviser la sécurité informatique, gérer les infrastructure et assurer le support de niveau 3. The IT Infrastructure and Operations Engineer is mission-driven: he has experience with a set of engineering practices for running safe and reliable production systems - design for operability and security, and working with a breadth of tools and approaches to solve a broad spectrum of problems.


Your responsibilities will be as follows:

Primary Accountability

The IT Infrastructure and Operations has the responsibility of building, running and maintaining the platform on which Utmost Luxembourg is relying. This means a strong involvement in incidents/problem resolution.

  • Incident response and resolution: when incidents occur, you are responsible for responding promptly, diagnosing the problem, debugging, and implementing appropriate solutions to minimize downtime and restore services;
  • Collaboration with cross-functional teams: work closely with other teams, to understand their requirements, provide support, and ensure smooth operations of the whole platform;
  • Documentation and knowledge sharing: maintaining accurate documentation of configurations, troubleshooting procedures, and best practices is crucial. You collaborate with colleagues to share insights and enhance the overall team knowledge;
  • Incident post-mortems and continuous improvement: after resolving incidents, conduct post-mortem reviews to identify root causes, document findings, and suggest improvements to prevent similar incidents in the future. Actively participate in continuous improvement efforts to enhance system reliability and resilience;
  • Security and compliance management: collaborate with security teams to ensure security controls and compliance requirements are met. Implement security measures, apply patches, and perform vulnerability assessments to protect against potential threats.

Other Duties

  • Infrastructure monitoring and alert management: monitor the infrastructure components, such as servers, virtual machines, network and security assets, containers, and cloud resources, to ensure their health and availability. Respond to alerts and take necessary actions to resolve issues promptly;
  • Configuration management and automation: use configuration management systems or infrastructure-as-code to manage and automate the deployment and configuration of infrastructure resources. Maintain consistent configurations, track changes, and automate repetitive tasks;
  • Capacity planning and resource optimization: analyse resource usage trends, forecast future demand, and plan accordingly. Optimize resource allocation, scale infrastructure, and recommend improvements to meet performance requirements;
  • Disaster recovery: work on disaster recovery strategy and implement mechanisms to ensure data and service availability in case of disasters or failures. Conduct regular disaster recovery drills to validate recovery procedures and maintain readiness.
  • Depending on experience, leading the development of a long-term technical strategy for our systems and infrastructure, with a focus on security and monitoring.

We are looking for a dynamic Head of Operations – Electrical Engineer to help us scale our operations, drive growth and lead our team to success.


Your Role

  • Lead and optimize daily operations across photovoltaics, renewable energy, and charging infrastructure projects.
  • Ensure Health & Safety compliance for all teams, worksites, and installations.
  • Oversee project delivery, quality, and cost efficiency.
  • Drive cost optimization through efficient resource allocation and process improvements.
  • Manage and negotiate with suppliers, subcontractors, and partners, including purchasing and procurement.
  • Implement and improve workflows, CRM, and automation tools for smooth operations.
  • Collaborate with the CEO on strategy, KPIs, and growth initiatives.
  • Recruit, mentor, and empower the operations team.

Your Profile

  • Degree in Electrical Engineering (or equivalent).
  • Proven experience in photovoltaics, renewable energy, and/or EV charging.
  • Strong understanding of health & safety standards and cost optimization strategies.
  • Experience in procurement, supplier management, and purchasing.
  • Hands-on, structured, and solution-oriented mindset.
  • Strong leadership, organizational, and communication skills.
  • Languages: German, English, and French are required – Luxembourgish is a strong advantage.
  • Entrepreneurial mindset and drive to succeed in a fast-paced startup environment.

+ Minimum 10 years of experience in IT services or technical operations, with a broad technology knowledge.
+ Experience in team leadership or people management.
+ Familiarity with tools such as Workday, K2, Rydoo, and timesheet systems.
+ Experience in interviews, mentoring, and leading projects or initiatives.
+ Exposure to financial planning, forecasting, and business operations in a service delivery context.
